This Privacy Policy explains how Innovative Security Services LLC (“we“, “us“, “our“) collects, uses, and protects information in connection with JobBills (“JobBills“, the “Service“), a field service management platform available at jobbills.com. By creating an account or using JobBills, you agree to the practices described in this policy.
1. Information We Collect
We collect the following categories of information:
- Account & business information — business name, your name, email address, and password (stored as a secure hash, never in plain text) when you sign up.
- Operational data you enter — client and contact records, job and service ticket details, estimates, invoices, price book items, and related files or notes you add while using JobBills.
- Payment configuration — if you connect Stripe, we store the API keys you provide (encrypted at rest) so JobBills can create charges and invoices on your behalf. We do not collect or store raw credit card numbers; card data is handled directly by Stripe.
- Business email (optional) — if you create a JobBills email address for your business, messages sent from it and replies to it are stored in your account so you can read and answer them inside JobBills.
- Gmail integration (optional) — if you choose to connect your Gmail account, we store an OAuth access/refresh token issued by Google, used solely to send email from your own address on your behalf when you use JobBills’s send features (e.g., emailing an estimate or invoice to a client).
- Alarm.com integration (optional) — if you connect Alarm.com, we store the integration credentials you provide (encrypted at rest) to support monitoring-related features.
- Usage & log data — basic technical data such as login timestamps and error logs, used to operate and troubleshoot the Service.
2. How We Use Information
- To provide, maintain, and improve JobBills’s core features (scheduling, clients, estimates, invoicing, billing, and monitoring integrations).
- To send emails you initiate from within JobBills (such as an estimate or invoice) using your connected Gmail account, so the message appears to your client as coming directly from you.
- To process payments and subscriptions through Stripe.
- To provide customer support and respond to your requests.
- To maintain the security and integrity of the Service.
3. Google API Services & Limited Use
JobBills’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- Gmail data accessed through your connected account is used only to send messages you initiate from within JobBills.
- We do not read, store, or analyze the contents of your Gmail inbox.
- Gmail data is never used for advertising or sold or transferred to third parties, except as necessary to provide the sending feature itself (i.e., to Google’s own Gmail API).
- We do not use Gmail data to build user profiles or for any purpose unrelated to the send-email feature you explicitly use.
4. How We Protect Your Information
Your business’s information is private. Only the people you add to your account can see it, and you control what each of them can access. We protect it with an encrypted (https) connection, passwords stored only as a secure hash, a verification code at sign-in, and encryption for the Stripe and Alarm.com credentials you connect. Card numbers are entered into and stored by Stripe, never by JobBills.
5. How We Share Information
We do not sell your personal information. We share information only with the service providers necessary to operate JobBills, and only to the extent required to provide the relevant feature:
- Stripe — for payment processing and billing, if you use those features.
- Google (Gmail API) — for sending email on your behalf, only if you connect your Gmail account.
- Alarm.com — for monitoring integration features, only if you connect an Alarm.com account.
- Email, text-message and e-signature providers — to deliver the messages and documents you send from JobBills (for example, an estimate for signature or an appointment text), only when you use those features.
- AI assistant provider (Anthropic) — JobBills uses Anthropic to power its optional AI features, and sends it only what each feature needs: (1) the help chat: the questions you type and the page you are on; it does not have access to your clients, jobs, estimates or invoices; (2) the customer match assistant (business owners, on the Import page and client profiles): the details of the customers being compared (name, email, phone, address and customer number from JobBills, Stripe and Alarm.com); (3) AI email reply drafts (Emails page): the email conversation being answered and that client’s upcoming appointments, unpaid invoices and estimates waiting for approval, plus your business name, phone and reply guidelines; (4) receipt scanning (Expenses page): the receipt photo or PDF you upload, so the store name, date, items and amounts can be read. Receipt photos are stored privately in your JobBills account and are only visible to the business owner and the person who added them. AI results are always shown to a person to review; drafts are never sent and expenses are never saved automatically. Business owners can turn each AI feature off on the Account page. Please don’t type passwords, card numbers or other sensitive details into these features.
- Accounting (Intuit QuickBooks) — only if a business owner connects their own QuickBooks Online company. JobBills then sends that business’s records to it, as chosen by the owner: customers (name, email, phone, addresses), invoices, payments, Price Book items and expenses (vendor, date, amount, category). Nothing is read back from QuickBooks except what’s needed to link records. The owner can disconnect at any time.
We may also disclose information if required by law, or to protect the rights, property, or safety of JobBills, our users, or others.
6. Your Clients’ Information
When a business uses JobBills, it enters information about its own customers (names, addresses, phone numbers, email addresses, job and billing details). That business is responsible for that information and for having the right to collect it; JobBills processes it only on the business’s instructions to provide the Service (for example, to send an estimate or an invoice the business asked us to send). If you are a customer of a business that uses JobBills and have questions about your information, please contact that business directly; we will also help route a request to the right business if you contact us at support@jobbills.com.
7. Cookies & Do Not Track
JobBills uses only the cookies needed to keep you signed in and to remember basic preferences (such as the business you are viewing). We do not use advertising or cross-site tracking cookies. Because we do not track users across third-party websites, we do not respond differently to browser “Do Not Track” signals; our practices are the same whether or not the signal is sent.
8. Your Choices & California Privacy Rights
You can review and update your account information at any time from the Account page, export a full copy of your data, and close your account. California residents may also request to know what personal information we hold about them, request its correction or deletion, and ask that we not sell or share it (we do not sell or share personal information for advertising). To make a request, email support@jobbills.com; we will verify the request through your account email and respond within the time allowed by law. We will not treat you differently for exercising these rights.
9. Data Retention & Deletion
We retain your information for as long as your account is active. You can export a full copy of your data and close your account yourself at any time from the Account page. If your subscription ends, your data is kept in read-only form for 90 days so you can come back, and is then deleted automatically; you may also ask us to delete it sooner using the details below. We may retain limited records where required for legal or accounting purposes.
10. Security
We use reasonable technical and organizational measures to protect your information, including encryption of sensitive credentials (such as Stripe and Alarm.com API keys) at rest. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
11. Children’s Privacy
JobBills is a business tool intended for use by adults operating or working for a field service business. It is not directed to, and we do not knowingly collect information from, individuals under the age of 18.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above, and we will notify account owners by email before material changes take effect.
